How do I create an account?Getting Started
Sign up with your email, verify it, and you're in. One account covers every Tahanic product — you never create a second login for MySchedule, MyReview or MyCost.
How do I set up my business?Getting Started
Create your business, add its locations, then invite your people and give each a role. Every product reads this same setup — you do it once.
Can I run more than one business on one account?Getting Started
Yes. Each business keeps its own locations, people, knowledge and data. Your role can differ per business.
What is the industry starter pack?Getting Started
Choosing your industry prefills the Business Brain with relevant knowledge, voice examples and rules. It is a starting configuration, not a different version of Tahanic — everything remains editable.
How do I invite my team?Getting Started
Invite each person by email and pick their role: Owner, Manager, Staff or Read-only. The role decides what they can see and do in every product. Roles can be changed later by an Owner or Manager.

Scheduling

How does a schedule get published?MySchedule → Scheduling
What happens: the week stays a draft while you build it. Publishing notifies every affected person, and each later change keeps its old and new version.
Who can do it: Owner or Manager.
What happens when someone has approved time off?MySchedule → Scheduling
Assigning them a shift raises a warning before you publish — approved time off is treated like unavailability. You can still override it deliberately; the warning exists so it never happens by accident.
How do open shifts and swaps work?MySchedule → Scheduling
An open shift is published without a name; eligible staff can request it. A swap is requested by the employee, and the system shows the consequence (cost effect, rule conflicts) before a Manager approves or declines. Nothing changes without a manager.
Does Tahanic work out overtime pay?MySchedule → Scheduling
Tahanic tracks scheduled and actual hours and warns about overtime risk while the week is a draft. It is not a payroll system — it prepares the hours for export; your payroll tool calculates pay.
What happens on clock changes (daylight saving)?MySchedule → Scheduling
Shifts are stored against the location's timezone, so a shift spanning a clock change keeps its real local start and end. Worked-hours totals reflect the actual elapsed time on that night.

Tasks & checklists

What can a task ask me to prove?MySchedule → Tasks
Depending on how the manager set it up: a simple tick, a step-by-step checklist, a photo, a numeric reading (for example a temperature), a signature, or a manager sign-off — and several of these can be required together.
How often can a task repeat?MySchedule → Tasks
One-off, daily, weekly, or attached to every occurrence of a shift (every opening, every closing). Time-bound tasks carry a deadline and remind before it passes.
What happens when a task is missed?MySchedule → Tasks
It becomes visibly overdue, the assignee is notified, and it escalates to a manager (and then a second contact if still open). Missed work never disappears silently.
Who sees which tasks?MySchedule → Tasks
Staff see their own assigned tasks. Managers and Owners see all tasks at their locations, with completion state and proof. Read-only users can view but never complete or edit.

Attendance

How does clock-in work?MySchedule → Attendance
Staff clock in from their phone; the clock-in is checked against the shift's location — a shop, a site or a client visit. Late arrivals and missing clock-ins surface on the manager's today view.
What if someone forgets to clock out?MySchedule → Attendance
A reminder goes out around shift end. An unclosed entry is flagged for a manager, who can correct it — the correction is recorded with who changed what.

How do reviews get into Tahanic?MyReview → Reviews
Requires Google API access
Google Business Profile review retrieval and direct reply publishing require Google Business Profile API access and are not currently available. Reviews can currently be added manually, and approved replies can be copied manually to the external review platform.
How does the AI write a draft?MyReview → Drafts
From your Business Profile and Business Brain: your products, policies, tone, signature and rules. You can edit, regenerate, or refine it (shorter, warmer, more formal). If it doesn't know something, it doesn't invent it. If drafting fails, the review simply waits for a person.
What happens when I approve a draft?MyReview → Approvals
The reply's state becomes Approved, recording who approved it and when. Approved does not mean published — you copy the approved reply to the review platform yourself. Approval can be revoked, and earlier versions are kept.

What do the automation rules control?MyReview → Automation
Rules by rating, keyword, language and location decide how a draft is classified and who it is assigned to. A deterministic risk scan runs first on every draft: legal, safety and discrimination language is always blocked; refunds, employee accusations and fraud claims always escalate. No rule, preset or AI signal can override that — and these labels classify drafts, they never send anything.
How do review requests and private feedback work?MyReview → Review growth
You share a review link or QR code with real customers. Unhappy customers can be routed to a private feedback form first, handled internally. Do-not-contact and unsubscribe are honoured, duplicates prevented, and every customer gets the same ask — no review gating.

Inventory & counting

How does stock counting work?MyCost → Inventory
Count sheets are organised by storage area and filled on a phone. A count stays a draft until someone finalises it — only a finalised count updates stock levels and feeds variance.
Weight or volume — which unit should I use?MyCost → Inventory
Each item has one base unit (kg, L, piece…). Purchases and counts convert into it, so pick the unit you actually count in. Changing an item's unit later affects history — set it carefully at the start.
What if waste has no price on it?MyCost → Waste
Waste is costed from the item's latest known price. If the item has no price yet, the record is kept with quantity and reason, and its cost fills in once a price exists.

Invoices & sales data

An invoice doesn't match what was delivered — what now?MyCost → Invoices
Record what actually arrived and flag the discrepancy on the invoice. The flagged difference stays visible against that supplier so the pattern is not lost.
Does Tahanic connect to my POS?MyCost → Sales data
Limited — import today
Sales data is imported (for example from a CSV export). A live, two-way POS connection is not available yet. Imported sales drive expected-usage and variance calculations.
What happens if I import the same sales twice?MyCost → Sales data
Imports covering the same period are detected as duplicates and held for your confirmation instead of silently double-counting sales.
What does “unexplained variance” mean?MyCost → Variance
Expected usage (from sales × product costs) minus recorded waste, compared with actual depletion (from counts). What remains is unexplained — named, costed, and marked needs investigation with possible contributors. It is a question to investigate, never a verdict.

Roles are enforced on the server for every request, in every product.

How do multiple locations work?Platform → Locations
Each location keeps its own schedules, reviews, knowledge, stock and rules. Permissions and location scope decide what each person sees and controls; a regional manager can span several locations under the same account.

Not available yet
Live billing is not enabled. Tahanic is currently in early access; pricing will be announced when billing goes live.
Can I export or delete my data?Platform → Data
Your data is yours. Reports export to CSV, and you can request account data export or deletion by contacting admin@tahanic.com.
